The eight things a quote must state
- Your business name, phone number and address
- The customer's name and the address of the work
- A description of the work in plain English
- Itemised prices — labour, materials, plant, waste
- VAT status: included, excluded, or not applicable
- Exclusions — what you are specifically not doing
- Payment terms, including any deposit and stage payments
- How long the price holds, and your earliest start
Wording that saves arguments

Homeowners typically contact two or three trades. The one who replies first with something clear usually wins, regardless of whether they are the cheapest.

Quote template questions
What should a UK trade quote include?
Your business name and contact details, the customer's name and address, a clear description of the work, itemised prices, whether VAT is included, what is excluded, how long the price is valid and when you can start.
What is the difference between a quote and an estimate?
A quote is a fixed price that becomes binding once accepted. An estimate is an informed guess that can change if the work turns out to be different. Label whichever you send clearly, because customers hold you to the word you used.
How long should a quote be valid for?
Fourteen to thirty days is normal for trade work. Materials prices move, and an open-ended quote can be accepted six months later when your costs have changed. Always state the validity period in writing.
Do I need to show VAT separately?
If you are VAT registered, yes — show the subtotal, the VAT amount and the total. If you are not registered, do not mention VAT at all and do not add it.
Can I send a quote by WhatsApp or text?
Yes, and for most domestic jobs it converts better than a PDF because it arrives while the customer is still thinking about the job. Keep the same level of detail you would put on paper.
